    Hi all! I'm a little embarrassed to ask this, as it seems like it's something I ought to know... but I'm asking anyway. How do you guys help students track their Thespian points? How do you track them in your own systems?

    Advice?

    Warnings?

    Any feedback is gleefully accepted.

    I keep track of Thespian points so that the distribution is fair among all students.

    I have an Excel document I created to keep track of all the points and do the math (so I don't have to) It takes a little updating every year to remove graduates and add new students but it works great for me. I am sure that there are lots of folks with a database much prettier than mine.

    I try to update the points after each production. My students are supposed to "log" their time working on a crew so I use that to determine Thespian points for crew members.

    I have found that most students are interested in tallying their points only at the end of the year when it is time for new membership and accolades. This is too stressful for everyone so I just prefer to do it myself.

    I have a junior troupe, and I make my students responsible for their own Thespian points. Every fall I hand out points records for our new drama kids, and give our returning students a chance to look at their sheets. The point records are in a binder in my office, and they know they are welcome to grab it and update at any time. The point system is posted outside my room, and there is also a copy in the binder, and I send a hard copy home every fall. 

    I give them a deadline in the spring to make sure all their points are entered, and then I go through the binder and approve, tweak, and total. If someone has missed something obvious and it makes the difference between induction or stars or not, I will usually go ahead and add it. And we have a talk about personal responsibility.

    Our Student Executive Board has a Membership Secretary position. That person maintains a points spreadsheet and inputs points immediately following each show or activity.

    My Thespian president is ultimately responsible for point tracking, but all exec board members assist.  There is a shared Google Sheets document that they all have access to.  If a board member creates a new record for a student, there is a line where they put their initials so we know who the potential member's "buddy" is.  The president audits points, and then of course I do as well to make sure we are being fair.  We work on a point system vs hours because of the needs of our program, so particular jobs are always worth X points--although teachers have the discretion to award additional points for meritorious work.

    This year we are working to create an online form where students can submit points directly to the Thespian president via our Google classroom, although this could be done through any website service.  We are still deciding what venue (Google forms, Survey monkey, etc.) will work best for this.

    I like this system as it puts the responsibility on the kids, gets my kids interacting with each other, and lessens the workload on me, while still allowing me the all important oversight.

    We, too have a Thespian Council; keeping track of points is relegated to the Vice President. Years ago I created a spreadsheet that automatically adds the numbers as points are entered.  After the student's name, there are separate columns for each production and the various activities we participate in for the year. For productions, Crew Heads are responsible for taking attendance for each crew member and transferring those hours into points. We have a very official document for this, and the attendance sheets must be attached as proof.  The Assistant Director is responsible for the cast attendance and points.  For activities, there is always an attendance sheet, and someone on council translates the times to points.  I look over all the the documents before approving the points, and once they have my signature, the documents are given to the VP who adds the points to the students' totals. It is a little tricky to remove graduates and add new students, but this has helped greatly.Points are updated after every production, and posted on the call board. Students can see points awarded for each activity. If they have any questions, we can go back to the documents. There have been mistakes, so it is great that everything is transparent.  It has worked out very well for the past 15 years.

    Is it possible that EdTA has software that you can input information in to record Thespian points?  If anyone knows of something that could be helpful I'd love to know.  I also still use a binder and the kids update the shows they do every year with their roles or crews, but I would like an online source.  Google Docs could work, but I'm wondering if there is something ITS has already!?

    I hope I'm not too late to add my "two cents" worth.  I was very unhappy some years ago when the home office did away with the 4x6 Thespian Point cards.  So, since then, I've been making copies of the few that I had left over and continued using them to this day.  The students maintain their point cards usually after consulting with me and the point sheets.  Then I record their running totals in an old fashioned grade book (I'm too "technologically challenged" for spread sheets and the like). The grade book is the official tally, as once in a while points get added to the 4x6 cards without my knowledge.  The student MUST tally their points at least once per school year, as I don't allow "carry overs," except in very rare exceptions.  Also, a student must earn at least Honor Thespian status (60 points) before graduation to earn graduation cords.  Plus, s/he must earn at least 10 points during their senior year for their honor cords.  This prevents an underclassman from showing up having earned over 60 points during their freshman/sophomore years, and then we never see them again until just before graduation.  This whole process has worked splendidly for us since I chartered our present troupe in 1994.

    I was considering a change from a 3 ring binder with individual paper thespian point forms in my office to a google doc.  My thespian officers all said they don't want to change.  Everything they do in school is on google docs, and they appreciate the paper copy and interaction with me as they fill in their points in my office after each show. I was surprised and secretly delighted.

    EDTA it looks like teachers would like an online way to keep track of thespian points.  Can you create an app that we could all use?  It would be nice to just add the points into the active thespians rather than just go back in and change their status from honor to national honor etc...

    I don't let my students on the iTS council assign points as the teacher/director can determine how well a student "acted their part" whether it was on the stage or backstage.  This has been a motivator for students when they realize the can't just hang out to usher or work on stage crew and do a less than satisfactory job. 

    On the subject of graduation cords- a student has to be an active member of the troupe to receive the cords. This is a district decision as they also list them in the graduation program along with Tri-M for music students, and the many other honor societies for visual art and performing arts.  It has kept students involved in the program through their senior year.

    I and Drama board students work together to tally the points. We still want to use the 4 x 6 index cards, but from one of the responses it looks as though those are no longer sold? Does anyone have any paper methods of tracking points? (the kids like to look back at the cards and prefer it to digital.) If EDTA doesn't sell those, should I just go to a printing store and have them made? 

    I have an additional question. Each point is supposed to represent ten hours of time. I have students who actually track their hours and they find they do way more than what is listed as the maximum in the suggested points. Do you go by hours, or how exactly do you all assign points to students? I'm trying to be as fair as possible...

    We track by hours.  It takes 100 hours to be a Thespian.  You have to earn hours from different categories..like acting, business, tech.  I have students sign in for rehearsal so hours are based on actual attendance.

    As you can see from the discussion, the point system is a guideline that allows every troupe director to make the adjustments that work for their program. The system works for programs with one show a year and for those with 10 or more. Often, if a program has a lot of activity, the points per activity are reduced, typically in half, so that induction truly is earned. That keeps the honor and pride of earning induction at the high level it deserves. The "1 point for every 10 hours" suggestion means "of quality work." Use it to encourage your students to truly strive for excellence and not just show up for rehearsal and sit around.

    There are point record sheets available for download for free in the ITS website. After you click on Middle School Troupe Director or High School Troupe Director in the menu bar, scroll down and the link is under resources.

    There are some point-tracking excel files in the community library that have been shared. They're very helpful so I encourage you to check them out. Here's a secret, so don't tell anyone. We are in the early testing phase of a point tracker spreadsheet that we plan to release in the first quarter of 2017. It will help track point stars that are earned for each additional 10 points after induction and honor ranks. It'll be free and we'll be able to enhance it based on member feedback to continue to improve it.

    As far as honor cords, stoles, medallions, and other honor items, while they may only be presented to officially inducted Thespians, their use and meanings are determined by each teacher. When schools don't permit the items to be "worn" for graduation, it seems what they mean is they don't want them to be SEEN. Is that correct? I've had teachers tell me that the students keep everything under their graduation gown to respect school policy THEN pull it all out for pictures after the ceremony. I think those are the pictures your students will share and treasure. The feelings of pride and confirmation that you bestow on your students at your awards ceremony, when you present them with their honors, is what they'll carry in their hearts for the rest of their lives. The POST-graduation pictures of them in their graduation gown showing everything off will trigger those feelings every time they see them.

    It is a three page Excel document. The first page has all the point breakdowns, what's worth what, and the like. The second page has all the automatic sums, so you enter your student names, and then enter your points. You can obviously edit all the columns for activities (it has all the columns for all our activities). The totals will tally up in the far right columns, so just be careful when you edit it that you don't delete all the sum equations.

    The last sheet is a print and display page, where you can enter in cut-n-paste data from sheet 2 if you wanted to print and display the points for your students.

    As for me, I have a folder full of Points Tracking sheets for each student. I take care of it myself, and will until my control-freak-ness allows me to delegate it to a responsible Thespian. I do it all on paper, but at some point I'll make the jump to spreadsheets.

    Great suggestions about how to handle points, and how to manage participation and graduation honors requirements. I'm reminded again and again of the value of being in a helpful community of diverse yet like-minded people.

    Hi, Colleen  - -  I'm with you all the way on your comments re: Thespian points.  I was saddened when EdTA discontinued the Thespian point 4x6 cards - to the point where I gathered a few of them up and so now just make copies as we need them.  And I agree, the students - even though they're now carrying Chrome Books around from class to class - like the 4x6 cards.  However, I keep the official running record of their points in an old fashioned grade book (age, you know!), so as to document their point status towards their graduation cords, plus whatever other awards they may be entitled to. 

    On the issue of additional points for additional hours worked, some time ago EdTA, on their official point list, gave the go-ahead for sponsors to add up to two additional points for superior work done.  As an example:  our major productions run on two weekends - for a total of 6 performances.  We consider that above and beyond what most schools present; and thus we award the extra two points for all cast and crew members.

    Every year I have a paper that I reuse for my kids. I list point tallies for each production for cast and crew. Most times they are the same year to year, by sometimes we do shows where I change them. Per example, this year we did Bring It On, which was tech heavy, so I gave tech crew more points than last year when we did 9 to 5. I hand out that paper along with the point sheet that EDTA has online. Kids complete it. I double check it. Then I put it in a three ring binder. I save the tallies the kids do for me every year. For outside shows, I use the EDTA point system online.

    The senior cords are given to all senior Thespians in good standing.

    I just started my troupe this past week. I did all of the initial points for our two shows for this year on an Excel document using the suggested points from ITS, with the exception of adding points for crews that didn't exist (makeup crew and projection design) and I used my 2 "discretionary points" for Gypsy Robe winners (I give one to cast and one to crew).

    My question is the use of the word "suggested." I know the points are supposed to be based on 1 point per hour. Here's the thing: My kids get grades and/or community service hours for their time spent working on the shows, so I have to track every second that they are rehearsing, prepping outside of rehearsal (hunting for costumes, shopping for props, doing a performance for our parent boosters, etc). Some of my most involved kids, who were in the ensemble (and can we PLEASE update the language from "chorus?") earned well over 130 hours, which, for my school, gave them 5 credits with a grade based on time and effort as well as 70+ community service hours. However, the "suggested" hours would leave them with only 3. How much discretion do I have in adjusting points?

    Also, how firm is the "points must be earned over two shows" rule? I had two situations where, because of a student being in the chorus, dance ensemble, being an understudy, a promotional performance and getting the gypsy robe, they earned 10 points for a single performance. I did not submit them for induction because I was sticking to the 2 show rule.
