Wow.  I've never done a musical with Samuel French, but I've worked with MTI quite a bit. We are in a similar situation- our only performance space is huge- but, like you, I've never broken 300 for any one performance, in fact, with all my performances together the most I've had is 550 see any one show.  MTI is usually really good about me telling them what my expected audience will be and giving me a quote based on that.  It looks like you have already talked to French though, and that isn't the case? Do you have a smaller venue you could use, maybe a community playhouse or even the cafeteria or something?  I'm kind of shocked that Samuel French is being so stubborn, I would assume thousands of schools do Grease every year, and I would be shocked if all those in our situations were being asked to pay those kinds of prices...... Maybe try a different SF representative, explain your situation and see what they can work out for you.  And let me know, because I've considered Grease myself, but if this is the case I won't.

Twelve thousand dollars? Or is that a typo?

Tell SF that you will only use 500 seats, that may change the rate. We have  1300 seat auditorium and the royalties were app $1500.

We did Grease last year (the full version) and, to be honest, I don't find it a good show for high school students. It's very misogynist, the way to get your guy is to change for him, become slutty, don't be yourself. It sold great and we made a lot of money but I'd never recommend it.

I can no longer see the original post, but I just had a similar experience with SF. I put in a contract for "Natasha, Pierre, and the Great Comet of 1812" because I wanted to see if it was restricted in my area (it is...bummer) but the estimated cost they gave me was $3800. I was flabbergasted. I think the most we've ever paid through MTI is $1500.

I totally agree with your opinion of GREASE! The parents all want us to do that show, but then when they actually see what the sub-plot is really about (not getting pregnant) and then the horrible way Sandy "changes" to please Danny, they think that we have changed the show. It's almost a "Taming of the Shrew" kind of problem with GREASE! How do you suggest a healthy relationship at the end of the show but still stay true to what is written?

I did Grease and The Moustrap this year.  Unfortunately, Samuel French owns the licensing rights  to both.  I found their royalties on both shows to be unreasonable and their procedures difficult. We asked our parent booster club to help with the initial cost on Grease. We sold out almost every night and our productions account account is at a healthy amount now.  I guess it was worth it financially.

Here are the issues with Samuel French:   They do not take PO's which creates lots of issues with our bookkeeping, you must purchase the scripts separately from the music (which is in the very fine print of the contract), you must purchase the rights of any music from the movie from another company, Chappell-Warner, and you have to email them and wait several weeks for a response.  Samuel French will release music from the movie once they receive the email from Chappell-Warner. We did not get our "movie music" until 2 weeks before we opened.  The school version scripts are not very good. I will never direct Grease again. Ever.

On The Mousetrap, they wanted to charge us $750 for 4 nights.  Their catalog states that the royalty fee is $100 per night.  I had to ask for a royalty reduction because we never sell more than 300 seats per night on a non-musical show.  We went back and forth and they finally agreed to reduce the royalties by $150 total.  However, it took so long to get this accomplished, that I got an automatic email from their billing department saying they were cancelling our contract for non-payment 3 days before we opened. I ended up fedexing a check to them.  It was a nightmare.  Most theatre directors don't have a "staff" to handle these things.

I have been doing this for about 10 years and I don't remember Samuel French being this difficult.  I will not work them again unless it is absolutely necessary.

I did two Samuel French plays this year and used purchase orders for both.

I've done Grease once and would never recommend it for high school.  It gives off the wrong message.  In it's place I would highly recommend Happy Days, much better show.  Same time period, better characters.

And.... I would avoid working with SF at all costs.

On working with SF... I just finished a small musical with them, and when I called my Rep with some extension questions, she was very accommodating, but I have noticed that they seem to have gained or somehow merged with some of the smaller companies I used to frequent (Dramatists' or Dramatics play services) as I will go to their website but end up ordering through SF. Not sure what is going on there.

I also found it weird that after my musical was over and I had returned the materials, I was sent a form to fill out in order to REQUEST my deposit back. I would not have received the deposit without filling out the form. I have never had to do this with Tams or MTI. It just seemed a little odd.

Have you tried Royalty Adjustment through the EdTA? I did that recently for a Samuel French show and got my Royalties lowered from $700 to $500. Not the best, but it's better.
